Sharing files

Sharing images, videos and other files from MediaCloud is easy.

STEP 1: Select the files you would like to share

The first step in the process is to identify the files you would like to share. You can do this by searching, browsing, or creating a lightbox with a set of assets—either way, you just need to locate the files you need. Once you have located them it’s simply then a case of selecting them by checking the little box at the top right of the asset's thumbnail.

Once you have selected the files you wish to share you are ready to proceed to the next step—so just click on the “Share” button on the menu bar at the top of the screen.

Pro tip: If you want to quickly share an individual asset, you can jump directly to the share screen by clicking on the share icon which pops up below the asset (see image below) when you mouse over it.

STEP 2: Select how you want to share your files
MediaCloud gives you control over how your files are shared. When you finish Step 1 above, a new window will appear with some options for you to complete, the window will look like the image below.
To send the files to your recipients, you have two options:

  • I. Share as an Online Gallery
    The recipients will receive an email with a link. When they click on the link they will be taken to a webpage that displays all the files you have requested.

    If you decided to share your assets as an Online Gallery, you will also have the option to choose whether you want to "Allow Assets to be Downloaded." If you select the yes button to this option, your recipient(s) will be able to download the images they want from the online gallery in the format you specify. If you select the no button, users will be able to view the assets in the gallery but they will not be able to download a copy for themselves.

  • II. Share as a zip file
    The recipients will receive an email with a link. This time, however, when they click the link in the email a download will start immediately and a zip file with each of your assets will be downloaded to the recipient’s computer.

STEP 3: Choosing the format and size options
Depending on your level of admin access, you can share assets in a variety of formats and sizes, or
simply as originals. Just use the drop-downs to select the format. If you have a mixture of videos and images that you are sharing you will be given the option to choose your preferred format for both.

STEP 4: Enter your recipients and a message
The final step in the process is to enter your recipients' email addresses. For multiple recipients, use a comma to separate email addresses. Once you have entered your recipient(s), you can then add a message which will appear within the content of the email. Once you’re happy with the options you have selected, simply click on the share button on the bottom right of the window and MediaCloud will send the assets.
