Prepare files

This, more specific, reference section is for contributors who upload files to MediaCloud. It can be tedious work to organize and process files, but it will be worth it when we have a successful system. We recommend that you do as much as you can, upfront, before uploading. Sorting through and cleaning up files already in the system is possible but time-consuming.

What to upload? - Image Quality

Upload your narrowed, best imagery. Select the best of each scenario in a photoshoot or the best clips that will be useful from a video shoot. From that, narrow down to what you think should be shared and what is at a level that is high-quality/professional/publication-ready.

File Naming Convention

Keep file names simple and short or characters will truncate. Abbreviate when necessary. Use hyphens or underscores. Do not use any spaces. Names are not descriptions. Use the event/occasion/activity/reason for the photoshoot as the name. (Or you will end up individually naming thousands of files and then forget why they were photographed or if they were related.) Should you have a need to name several files, bulk file naming can be done in Adobe Bridge: Tools/Batch Rename.

Recommendation: Please use hyphens between words because they are shorter than underscores. Use one underscore before the file number at the end to distinguish it.

Examples:
Homecoming-2019_003.jpg (Event-Name-Or-Person’s-Name-Year_001.jpg)
CHSS-Amer-Studies_014.jpg (An example when college/school is necessary and no year is needed.)
Doe-John-2020_02.jpg (portrait shoots; Last-First-Year_02)

Formal studio portraits should have the person's name in the file: last name, then first name. Environmental portraits that are part of a larger shoot and may include multiple people and other scenes can be named for the reason of the shoot. Example: CSM-Faculty_04.jpg

Adding Metadata Before Uploading

Metadata, such as keywords and descriptions, can be added upon upload, but if you have information to add before you upload, you can do so in Adobe Bridge or Lightroom.

Publication = If it was published name and date/issue information

Keywords: Remember to start broadly with keywords that apply to all the images and then narrow down to what you see in individual images. Below are just some examples. Add any additional that apply. These things change over time, use what is current. Please check that your spelling is correct.
