Early Move-Ins

If you are a faculty or staff member and believe you will need a student or student group to move in to their campus residence earlier that the official move in dates, please follow the steps described below to request a move-in date. Reasons that you may request an early move in date for your students include:

  • A mandatory staff training
  • Student is employed in a position for your department and MUST begin their work hours before the standard move-in
  • Student is performing mandatory research for your department and MUST be on campus before the standard move-in
  • Students are participating in an authorized University program prior to the standard move-in
  • or for any other reason that you believe is necessary and meets criteria for an earlier arrival

Submitting Your Request

Please submit a request to the Residential Learning and University Housing Office by completing the form that can be found by clicking on this link. Requests must be submitted by July 26th, 2019 in order to be considered.

Early Move-In check in options will only be offered Monday-Friday between the hours of 10 am and 1 pm. *No weekend dates will be available. Groups scheduled prior to August 26, 2019 will complete their check in process at a central location on campus prior to moving belongings into the residential assignment. Early move-ins on or after August 26, 2019 will take place at each residential area. Students who are moving into a Nexus building will receive separate instructions for their move-in process.

When submitting your request, you will need to include:

  • The first and last name of ALL students who are participating in your event/training/department, even if you think they are not living on campus. Housing statuses of students change routinely, and in order to insure that we know about them in advance, all participants should be part of your request.
  • Each student’s Rowan Banner ID Number. It is imperative that you insure the ID number of the student is correct or the information could be applied to an incorrect student. This may result in your participant(s) not being able to move-in on your requested date.
  • The purpose that students need to move in early for (i.e. training, campus employment, athletic sport, etc.)
  • You will need to select from a dropdown menu the date that you are requesting student(s) to arrive on campus.

Information your Early Move-In Students Need to Know:

  • Gourmet Dining meal plans do not go into effect until Official Move-In Weekend (August 30th). Students, or the early move in group they belong to, who arrive to campus early will need to be responsible for their own meals – this is particularly important for any students who are residing in a residence hall as they will not have access to a kitchen. Should you need to arrange catering options through Gourmet Dining, please visit Gourmet Dining Catering
  • Early Move-Ins cannot arrive outside of their approved date and time. If students do arrive outside of their approved check in window we will be unable to check them in to their campus assignment at that time.
  • All Early Move-In students are expected to abide by all university policies. If a student who has moved into campus early is found to be in violation of a university policy, they could be asked to leave campus and not return until official move-in weekend.

Due to the complexity of preparing spaces earlier than the official, campus-wide move-in weekend, strict adherence to the expectations around requesting an early-move in group is crucial to insure a successful and welcoming move-in process for our students. As stated above, requests for early move-ins need to be received by July 26th, 2019. Late requests, or requests missing participants from the list, may result in the inability for our office to accommodate an early move-in for an individual or your group.
