The Chamberlain Student Center & Campus Activities (SCCA) Event Services Team is here to ensure you have everything you need to host successful events in our building! We can help you reserve your space, create your room layout, think through your event logistics, and provide day-of event support. Our team will provide service excellence in helping you to see your event through from start to finish!

Vendor Tables
Vendor tables are spaces that clubs or organizations can use to promote their events, programs, and to fundraise.
How do I reserve a vendor table?
- Navigate to https://sites.rowan.edu/scca/index.html
- On the left side column, select “What We Offer” -> “Event Services” -> “Reserve a Room”
- This will bring you to 25Live, our reservation website. You will sign in with your Rowan username and password
- On the top right, click “Event Form”
- Fill out the required event information
- Under Locations Search, select “Chamberlain Student Center”
- Scroll down to “Outdoor 322 Vendor Table #” or "CSC First Floor Vendor Table #" and click “Reserve”
Can I sell products at my vendor table?
- Yes, you can sell items to fundraise for your organization. However, there are some restrictions to what can be sold. Some restrictions include commercial merchandise, multi-level marketing company products, and certain types of food sales due to food safety regulations. If you have an SGA-hosted student organization account, you must complete and submit an SGA fundraising form prior to collecting any funds. You may contact sga@rowan.edu or call 856-256-4540 with any questions. All money must be deposited into the organization’s SGA account by the next business day.
Can I reserve a vendor table if I am a student but not part of an organization?
- Yes. Individual students who independently own and operate their own business are able to reserve a vendor table to sell their own items at a cost of $15 per day for one table.
How many vendor tables can I reserve per semester?
- Each organization is permitted 15 vendor table reservations per semester, with a maximum of 2 per week and 1 per day.
What if I have to cancel my vendor table?
- To cancel your vendor table, email studentcenterevents@rowan.edu at least two business days prior to your reservation.
Meeting Spaces
Meeting spaces are rooms in the Student Center that are able to accommodate meetings and smaller events. These spaces are Room 127, Room 128, Room 129, Room 144, and Room 221. Rooms 144 and 221 are able to be divided into smaller spaces.
How do I reserve a meeting space?
- Navigate to https://sites.rowan.edu/scca/index.html
- On the left side column, select “What We Offer” -> “Event Services” -> “Reserve a Room”
- This will bring you to 25Live, our reservation website. You will sign in with your Rowan username and password
- On the top left, click “Event Form”
- Fill out the required event information
- Under Locations Search, select “Chamberlain Student Center”
- Scroll down to select the space you would like to reserve and click “Reserve”
- You will receive event confirmation from the Chamberlain Student Center & Campus Activities administrative assistant
- Following that, you will be reached out to by a Student Event Assistant. They will work with you to help figure out your event needs such as room diagram, technology needs, and any additional event resources.

What if I have to cancel my meeting space?
- To cancel your meeting space, email studentcenterevents@rowan.edu at least five business days prior to your reservation.
Can I bring my own laptop?
- You are able to bring your own laptop. As long as it has connection to an HDMI port, you will be able to hook it up to our A/V system. However, every room is equipped with a projector screen and laptop.
What meeting spaces are capable of hybrid events?
- Room 127, Room 144, & Room 221 (when reserved as the full 221 space or 221B ONLY) are best suited to host hybrid events.
- These rooms offer an external camera with an overhead audio system (speaker & microphone), which allows for event attendees to speak clearly through online and in-person platforms.
Special Events
Special events are defined by which space the event is taking place in. The 5 special event locations are the Ballroom, the Owl’s Nest, the Pit, Front Patio, and the Back Patio. Since these venues are more specialized and require additional factors, we require student organizations to meet with the Student Center Event Services team.
What is the timeline for special events?
- Minimum of 6 weeks from the event
- Request space in 25Live using the same procedure as listed for “Meeting Spaces”
- Minimum of 4 weeks from the event
- Meet with Student Center Event Service Team to discuss event specifics
- Minimum of 2 weeks from the event
- Submit finalized room diagram to studentcenterevents@rowan.edu
How do I know if my event is classified as a special event?
- Your event is classified as a special event if it is in one of the following spaces: the Ballroom, the Owl’s Nest, the Pit, Front Patio, or the Back Patio.

Event Parking
Where can I park on campus for my event in the Chamberlain Student Center?
- All groups and personnel need to request a visitor parking pass to parking@rowan.edu prior to the event.
- If a parking pass is not requested through Public Safety, there is a chance of receiving a parking citation.
- Once you have requested a parking pass, you will be assigned a parking lot through Public Safety.

Risk Assessment
How do I know if my event needs Public Safety/EMS presence?
All events require a level of risk assessment, which include potential Public Safety and/or EMS presence. Below are the factors that need to be considered in order to evaluate the risk. As a note, these are just some of the factors that have the potential to increase risk for an event.
- Number of participants
- Amount of participants external to Rowan University
- Presence of minors
- Money being collected at the event
- Standing events (concerts, dance parties, etc.)
- Runs/walks around campus
- Multiple events on the same day
- Events that require crowd control that is needed to keep participants away from dangerous areas
- Any event in which incidents have previously occurred
How much does it cost to have Public Safety at my event?
- Public Safety offers discounted cost to student events, $20 per officer per hour.
How much does it cost to have EMS at my event?
Due to event-specific factors, EMS costs vary.
- Chartered student organizations will not receive a charge for events that are deemed a public service or charity fundraising events such as Runs, Walk, etc.
- Chartered student organizations may incur a charge for large events such as concerts, dances, parties, etc. that require a larger EMS commitment such as increased staffing and additional equipment

How many Public Safety officers will be present at my event?
- There are numerous variables involved in how many officers will be present at your event, therefore it is up to the discretion of Public Safety to determine the amount of officers needed. If you have any questions if Public Safety will be needed at your event, please contact Joe Lizza, Director at lizzaj@rowan.edu.
SUP Tech Rental
The Student University Programmers have a team of trained student technicians that are able to provide more in-depth technology services and equipment to help enhance your event. These services include lighting, soundboards, and speakers among others.
Info Desk Ticket Sales
Having a ticketed event in the Student Center? The Info Desk is able to assist with your ticket sales. This service is free of charge and will assist you in selling tickets in advance of the day of your event. Additionally, there is an opportunity to have ticket sales on your event day pending availability of staff to operate the ticket sales process.
Marketing
Help spread the word about your event! The Student Center & Campus Activities offers marketing opportunities such as posting on bulletin boards, pit posters, and digital signage.
