Virtual Career Fair Employer Overview
Career fairs have almost become a rite of passage for Rowan students – crowds of professionally-attired students lining up at booths or tables to meet employers, hoping to make a connection that leads to a great opportunity. However, as with many other aspects of life, some our career fairs are taking on new forms. We wanted to share with you how meeting students online changes the career fair dynamic, and what you can you do to boost your organization's profile!
While the networking opportunities may be similar, the way you interact with students will be very different. Instead of meeting a student in person, you will only interact over video during our virtual career fairs. Rowan University is using our ProfsJobs system, a Symplicity based platform, to manage our virtual career fair. This system will be used throughout the event ALONG with your virtual meeting platform of choice. It is critical that participating organizations prepare ahead of the event to ensure a great experience for your representatives and our students.

Registration Process
Registration is now open for the following events:
Rohrer College of Business: Accounting, Finance, and MIS Expo, September 23
This is a virtual career fair exclusively for employers of accounting, finance and management information systems students, and is a great opportunity for an organization to find an intern, part-time or full-time employee. This event will take place on September 23rd, 10-2. Regardless of your company’s state of hiring this September, this is also an opportunity to network with Rohrer College of Business Students and build your talent pipeline.
- With over 1,000 Accounting, Finance and MIS majors, Rowan’s programs represent a wealth of talent for area recruiters.
- 100% of last year’s employers indicated on their event survey they would attend again and that they were able to identify talent to fill their open roles!

Rowan University Fall Virtual Career & Graduate School Fair, October 7
Employers and graduate school representatives are invited to our largest virtual event of the year! This virtual event will be held on October 7 from 10-2pm. Students from all majors will be in attendance to learn about full time, part time, internship, and graduate school options.

Confirming Registration and Testing the Platform
All employers and representatives MUST log into the site prior to the fair to ensure their account information is set up and that all links to your virtual meeting platforms work.
- Visit www.rowan.edu/profsjobs and log into the employer portal (Please note, if you have never signed in before, enter your email address and select forgot password on the left side of the page and one will be sent to you. All representatives that were registered will have an account in the system – if they do not please let us know immediately so we can resolve the issue prior to the fair.)
- Select Events > Career Fairs in the left hand column
- Select Event you are registered for and click the registered button.
- Please, double check your registration information. The registration information will contain the representatives you signed up for the event and the virtual links you wish students to use to connect with you, please MAKE SURE THESE ARE CORRECT for you and your team prior to the event. Each person meeting 1 on 1 with students MUST have a direct link to their virtual chat room provided on the registration form. These links are only shared with students after you have selected them to speak with during the event.
- Review the group chat links provided - these links are open to ALL students throughout the event and allow students to just drop into a group conversation at anytime.
- Click the "Modify" button at bottom of page if the registration details need to be updated. Click through each part of form to update (the 1 on 1 video instructions are attached to the Representatives information on the form, click the expand button when in the representative section).
- Finally, select the My Positions tab to update/add positions for students to view during the event. For some events the "My Positions" tab will not be available.
- Submit/confirm the form.

Best Practice for Employers
- Internet Explorer is no longer supported. Please use another browser. A white screen/error will occur when initiating a student chat if Internet Explorer is used
- When entering virtual meeting links, highlight the text and click on the “Insert/edit link” icon in the HTML toolbar. Insert the link in the URL field and select Ok. You should then see the link as a hyperlink. This will create easier access and flow when students join the 1-on-1 or Group Chat meetings
- When finishing a chat, be sure to remove the current student before admitting the next student so that there are not two students in the virtual meeting room at the same time. You may want to lock the meeting room as well, per meeting software
- After entering Notes for a student, revisit your “View Chats” to move to the next student in line in the queue
- For employers using Zoom, be sure to clear the chat history after each student. For some meeting software such as Zoom, the chat history remains for the entire session. So you will want to clear out if you have entered student-specific info, prior to the next chat
- Before you leave the VCF, make sure to set your status as "Offline." This will clear your queue and end all chat activity
Day of Event Instructions
Virtual Career Fair Instructions for Employers
- Go to the employer portal at www.rowan.edu/profsjobs to log in or click “forgot password” if you are new to the system.
- On the day of the fair, you can get into the fair 60 minutes before the fair starts.
- Once you have logged in, go to Events/Career Fairs/Fall Virtual Career Fair and click View Chats.
- Confirm your meeting information (update with a new video link if you need to) under Chat Instructions.
- You can greet students with your profile picture by uploading it under Account/Personal Profile.
- Your employer contact has set The Expected Chat Time per Student, which is the same for all representatives at your company. If you would like to modify Expected Chat Time per Student, you will need to ask your employer contact to make this change.
- Set your Status to Online.
- Start your video meeting using the video link provided in Chat Instructions and keep your video meeting running for the entire length of the fair. Make sure you have two browser windows open side by side - one for video meeting and another one for Symplicity, so you can see the timer.
- If your Alternate Chat Instructions include a phone number, make sure to have your phone handy if students experience technical difficulties.
- When the fair starts, you will see students lining up in your queue.
- Select the student at the top of the list, unless the student is already video chatting with another representative from your company. It may take a couple of minutes for a student to join your video chat.
- Once you have started to video chat with a student, watch the timer which will count down from the maximum time to zero. When time is up, you will see an alert and hear a “ping” sound.
- When you are done, click End Chat in Symplicity, and Dismiss Attendee in your video meeting. This enables you to keep your video meeting running, ensuring no overlap between students.
- You can mark the student as a candidate you are Interested or Not Interested in, and take notes. This information is not shared with the student.
- If you need to step away for a short break, set your Status to Busy. Students can continue to join your queue.
- If you need to take a longer break and no other representative from your company is Online, then set your Status to Offline. Students will be notified that you are no longer online and will likely leave your queue. The system will automatically send you resumes of students who were in line, but did not have a chance to connect with you.
- If you select students who are busy chatting with another company, you will not be able to select them, but they will stay in your queue for later conversations.
- If you are hosting a group session during the event, please try to keep 1 representative online to speak one on one with students.
- When the fair is over, you can filter students by Overall Feedback and download resumes.
- Before or during the fair, you can generate interest in your company by inviting students to video chat with you. Go to the All RSVP’d Students tab, use Advanced Search to find students of interest, select them and use Mail To/Invite to Chat. There is a default template which you can customize.
