Spring 2021 Move-out Process

Common questions about how to properly check out of your residence hall or apartment:

  1. When do I need to move out of my residence hall or apartment if I am NOT graduating?
  2. I am Graduating, when do I need to move out?
  3. If I have an extreme extenuating circumstance that potentially might prevent me from moving out by the posted check-out date, can I request an extension?
  4. If I complete the check-out extension request, will I automatically be able to stay in my Spring housing until my requested date?
  5. Can I still use my meal plan if I am approved to stay on campus for any reason after May 7th?
  6. Where do I return my key if I am in a building that uses keys for door access?
  7. What happens if I lost my key or do not return it for any reason?
  8. Do I need to tell anyone that I am checking out, or can I just leave?
  9. If I do not have key to return, can I just move out or do I need to do something to check out?
  10. If I received a summer housing assignment for the very beginning of summer, when do I move out of my Spring assignment and into summer housing?
  11. How do I check in to my summer housing assignment?

Important Dates:

Last day of final exams: Friday, May 7th.
Last day to move off-campus if not noted as graduating or an approved extension : Saturday, May 8th at noon.
Last day to move off-campus if you are graduating: Friday, May 14th at noon.
Deadline to apply for a checkout extension: Sunday, April 25th.

 Instructions for Completing a Proper Check-out Process

 

If you live in a building that uses keys, follow these steps:

  1. Remove all belongings and trash from your room
  2. To leave your space in the proper condition, follow the steps outlined on the check-out checklist
  3. Visit your building or complex’s key drop box location to return your key:
    • Chestnut – Mounted to the wall by the TV in the main lounge by the pillars
    • Edgewood Park – Mounted to brick wall between 401 and 404
    • Evergreen – Mounted to the wall main lobby
    • International House – Dining room table
    • Magnolia – Mounted to the wall inside stairwell A
    • Mimosa – Mounted to the wall main lobby
    • Townhouses – Mounted to the hallway wall beyond the mailboxes in the Community Center
    • Whitney – Mounted to the wall in the main lobby

    4. Fill out the the pre-labeled envelope located at the drop box and seal your key inside.
    5. Place your filled key envelope in the drop box.

Once moved out completely and your key is deposited in the drop box, complete the on-line check-out process to communicate your departure by following these steps:

  • Log into https://go.rowan.edu/myhousing/
  • Click on Personal Information>>MyInfo>>Select Spring 2021 for the term
  • Answer the following question "Current Spring 2021 Residents Only: I have moved out of my Spring 2021 housing assignment." as "Yes" and click "save"

If if your key is not returned, YOU WILL BE CHARGED the appropriate lock change fee.

 

 If you live in a building WITHOUT KEYS (Holly Pointe and Rowan Blvd Apts.):

  1. Remove all belongings and trash from your room
  2. To leave your space in the proper condition, follow the steps outlined on the check-out checklist

Once moved out completely, you must complete the on-line check-out process to communicate your departure by following these steps:

  • Log into https://go.rowan.edu/myhousing/
  • Click on Personal Information>>MyInfo>>Select Spring 2021 for the term
  • Answer the following question "Current Spring 2021 Residents Only: I have moved out of my Spring 2021 housing assignment." as "Yes" and click "save"

 

If you are a resident of Nexus Properties, YOU WILL NEED TO RETURN your key fob to their office. Failure to do so will result in a replacement charge being assessed to your student account.

Summer Housing Instructions

  • Spring residents who have also received a summer housing assignment for the very beginning of summer housing (May 15), you may remain in your Spring assignment until the start of the summer housing program on May 15. Follow the instructions sent via email with your summer housing assignment to move in to your summer Rowan Blvd assignment.
For residents (Non-Nexus) moving into your summer housing assignment directly from your Spring housing assignment, please follow these instructions to officially check out of your Spring housing assignment and return your room key (if that applies):

Move-Out Instructions For Non-Nexus Buildings (Residents in Nexus buildings should follow check-out instructions from Nexus):

  1. Empty your room/apartment of all personal belongings, including all trash
  2. Follow the steps outlined on the check-out checklist, which can be found here.
  3. Return your room/apartment key to the locked drop box for your building- locations can be found here. (If your building does not use keys, go to the next step)
  4. Complete the on-line check-out process to communicate your departure by following these steps:
    1. Log into https://go.rowan.edu/myhousing/
    2. Click on Personal Information>>MyInfo>>Select Spring 2021 for the term
    3. Answer the following question "Current Spring 2021 Residents Only: I have moved out of my Spring 2021 housing assignment." as "Yes" and click "save"

Check-Out Extension Requests

Checkout extension requests are due by Sunday, April 25th at noon. Requests submitted after this date cannot be considered. Residential Learning and University Housing will respond to your request via your Rowan email address.

Please note that it may not be possible to approve all extension requests based on the location of your spring housing assignment and the operational need to have the buildings vacant by the posted closing date. Extension requests should be limited to only very extenuating circumstances, which still may not be possible to accommodate. Residents should plan to vacate your spring assignment by the closing dates posted above.

For students who fall into one or more of the below categories, a checkout extension will automatically be noted and approved by our office so the individual student should not submit a request to stay later. The advisor or coordinator of your program will provide our office with the approved list of students and our office will automatically approve your extension. You will be sent notification via email the week of April 26th stating the date you are approved to remain on campus. If you have a question or concern once this email comes out please email housingquestions@rowan.edu.

Groups that will be approved and do not need to submit a checkout extension via MyHousing

  • Baseball
  • EMS assisting with commencement
  • Graduating Seniors (including those who are walking)
  • Pep Band assisting with commencement
  • PROs assisting with commencement
  • RAs
  • RCGC students
  • Softball
  • Summer Housing (May 15 start)
  • Track/Field
  • Women’s Lacrosse

For students that do not fall into one of the above categories but would like to request an extension, please follow the below instructions:

How a student submits a checkout extension request:

  • Log into https://go.rowan.edu/myhousing/
  • Click on Housing applications & Forms from the top menu
  • Selection "Spring 2021 Checkout Extension Form (Spring 2021)" from dropdown menu
  • Answer the questions in the form

When you successfully complete the form, you will see a screen that states "Thank you for submitting your application". In addition when you return back to the dropdown menu under "Housing applications and forms" you will see that the form is now noted as "completed".

Spring Meal Plan

  • The last day to use your meal swipes and dining dollars is May 7th.
  • Any dining dollars that remain on your account after May 7th will be forfeited.
  • Freshens, in the Student Center, will remain open between the hours of 11 AM – 2 PM from May 8th – May 13th and will accept Rowan Bucks or cash/debit/credit.
  • Rowan Bucks can be used year round at all participating vendors.
